The challenge

When businesses call me about their phones

  • Several providers, numbers and bills that nobody fully understands
  • Calls ringing the wrong team, or nobody, after hours
  • One-way audio, dropped calls or poor quality on VoIP
  • An ageing PBX that is expensive to maintain
  • New sites or remote staff that need numbers quickly
  • Calls that never appear in the CRM

Approach

Choosing the right platform

Cloud phone systems

Zoom Phone, Google Voice and Dialpad: no servers to maintain, desktop and mobile apps, licences per user. Best for teams that want calling managed as a service.

Programmable voice

Twilio: calling built into your own software, IVRs and workflows, paid per use. Best when call handling is part of your product or process.

Self-hosted PBX

FreePBX on Asterisk with SIP trunks: full control over routing, recording and per-minute cost. Best for call centers and cost-sensitive, high-volume operations.

Programmable voice

Twilio voice and messaging built into your own applications, IVRs and workflows.

Process

How the work proceeds

Four stages with clear decision points and acceptance criteria.

  1. Audit the current system

Every number, carrier, call flow, device and integration is inventoried, including the after-hours rules nobody remembers creating.

  2. Design the target platform

Users, sites, queues, IVR menus, routing, emergency addresses and porting are designed and agreed before configuration starts.

  3. Build, test and cut over

The platform is configured in parallel, tested against real call scenarios, then cut over in an agreed window with a rollback path.

  4. Hand over and support

Administrators receive the call-flow map, configuration record and runbook, and a walkthrough of everyday changes.

How acceptance is assessed

  • Inbound and outbound test calls pass for every number, queue and IVR path.
  • Ported numbers ring on the new platform and the old service is safely retired.
  • Emergency calling addresses are set for every user and site where required.
  • Administrators can make routine changes using the handover documentation.

FAQ

Common questions

Can we keep our numbers?

Usually, through porting or by connecting your existing carrier. Eligibility is confirmed for every number before the plan is final.

How long does a phone system migration take?

It depends on users, sites and porting timelines. The plan sets dates for build, testing, porting and cutover.

Can calls still ring on mobiles?

Yes. Every platform here offers mobile apps, and calls can follow users between desk, desktop and mobile.

What about emergency calling?

Emergency addresses are configured for each user and site where required, and the obligations are explained during design.
